Step-by-step guide to set up routing rules in Gmail for MailStones

This guide will walk you through configuring Google Workspace routing rules to automatically send emails to your MailStones capture address.

Prerequisites

  • Google Workspace admin access
  • Your MailStones capture email address
  • Access to Google Admin Console

Step-by-Step Instructions

Step 1: Access Gmail Settings

Log in to the Google Admin Console and navigate to Apps > Google Workspace > Gmail.

Step 2: Configure Routing

In Gmail settings, scroll to "Routing" and click "Configure" to start a new rule.

Step 3: Name the Rule and Select Email Types

Name your routing rule (e.g., "MailStones Journaling") and select the email types to affect:

  • Inbound - Emails received from outside your organization
  • Outbound - Emails sent to outside your organization
  • Internal - Sending - Emails sent internally
  • Internal - Receiving - Emails received internally

Step 4: Add Your Capture Address

Under "Also deliver to", add your MailStones capture email address as an external journal/archiving email address.

Step 5: Save the Rule

Review your settings and click "Save" to activate the routing rule.

Note: Routing rules typically take effect within a few minutes. Once active, emails matching your selected types will be automatically sent to your MailStones capture address.
